What counts as an “active user”?
A user who logs in at least once during the billing month, by any method including SSO. Users who are provisioned but never log in, and deactivated users, are not counted.
Can I change tiers?
Yes, anytime. Upgrades take effect immediately and are prorated; downgrades take effect at renewal. Your data carries over.
Where is my data hosted?
At rest, all of it is in Canada, on AWS ca-central-1 (Montreal): learning records, course content, assessments, certificates, uploads and your user directory. Some processing happens outside Canada, our application and background workers run on US-hosted platforms and transactional email is delivered from the United States. Nothing is stored there. Our Trust page states the full picture.
Is there a free trial?
Paid plans include a 1-month free trial, no credit card required. The Free plan is free forever.
How do billing and taxes work?
Billing runs on Stripe. Card details are entered only into Stripe-served payment UI and never touch EmbayLMS servers. Prices are in CAD, and Canadian taxes (GST/HST) are applied on your invoice. Annual billing saves 20%.
Can you migrate our existing LMS data?
Yes. Our Switcher Program imports your users, enrollments, and completions with the original completion dates preserved, so your compliance history stays intact.
Do you offer non-profit discounts?
Yes. Contact us for non-profit and educational-institution pricing.
What does “unlimited storage (fair use)” mean on Growth?
Growth storage is unlimited for normal training content: courses, SCORM packages, video lessons, and documents your learners actually use. It is not a general-purpose media warehouse, accounts using storage far outside typical training patterns may be asked to trim content or move to a custom plan.
